12. Negotiate tenancy terms

Another way we provide landlord advice in Gloucester is to manage the negotiations with the prospective tenant, so you don’t have to. Cox & Company will have agreed with the landlord beforehand the tenancy term and parameters and then use that in negotiating with the prospective tenant.

13. Confirm tenant references, credit and ID checks

We ask for photo ID, copies of bank statements and proof of employment and regular income. We use an independent company to ensure that each person named on the tenancy agreement is valid, and that at least one member of the household has an income in excess of two and a half times that of the annual rent. We check bank statements and insist that at least one applicant is in full-time permanent employment. In some circumstance we ask for a guarantor. We also verify individuals against the electoral register, run a credit check and contact the previous landlord for confirmation of conduct.

14. Produce tenancy agreement.

One of the areas where landlord advice is often most needed is the legal aspect to renting out a property. The tenancy agreement is a vital document and is designed to protect the legal rights of both the landlord and tenant. We will produce the agreement so it covers all the important aspects of the rental (term, rental price, responsibilities etc).

15. Arrange gas safety check

All rental properties require a Landlords Gas Safety Certificate, ensuring that at the time of checking by a qualified engineer, all gas-fired appliances and boiler are legal and safe.

16. Arrange electrical safety checks

Portable appliance testing and the testing of the electrical fuse board and wiring systems are just as important as the gas and must be carried out. We have qualified electrical engineers who will conduct this work for our landlords.

17. Produce descriptive and photographic inventory

Cox & Company will help landlords by compiling a detailed inventory, which will be descriptive and photographic. This is a really important pre- and post-let process that can help with any disputes later on.

18. Collect first month’s rent and deposit (register deposit with the Dispute Service where required)

Under the Let My Property service, we can help Gloucester landlords at the outset by arranging for collection of the first month’s rent before handing over the payment and collection responsibilities to you.

19. Confirm tenant contents insurance policy

Prior to move-in we will obtain a copy of the tenant’s contents insurance policy – additional peace of mind for our landlords.

20. Arrange transfer of utility accounts

It’s the little administrative things that can become a headache, one is transferring utility accounts such as gas, electricity, telephone, water etc. Whether it’s you the landlord that is moving out or from one tenant to the next, Cox & Company will have this aspect of the rental process covered.

21. Confirm appropriate notice from landlord or tenant to end tenancy

Our systems ensure that we are able to keep information about your Let Only tenancy in order to assist once the tenant gives the landlord notice to leave or a landlord wishes to make the property vacant.  Dates and copies of original documents are very important in this process and we can provide you with copies of any documents produced at the outset.  Once Cox and Company have confirmed the necessary procedures with our landlords and a tenancy is nearing its end we will automatically inform both parties of the approaching date and what happens next.

22. Arrange transfer of final utility accounts

As with the transfer, we make sure that as a tenant leaves all the utility account loose ends are tied up and covered.

23. Produce check-out inventory and comparison to move-in inventory

The importance of the inventory becomes clear at this stage in the property rental process, so we ensure that everything is as it should be in the property for hand-over from one tenant to the next. This process will also highlight any discrepancies which we can handle in the next stage of the process…

24. Act as stakeholder in possible deposit disputes

We will provide landlords with a detailed report and recommendations for possible deductions from deposit and provide impartial advice for landlords in any deposit disputes that may arise when a tenant is leaving the property.  Cox and Company can also provide details of specialist organisations that can assist with disputes.
